Employment - Substitute Information

We are NOW processing applications for certified (valid Georgia Teaching Certificate) substitute teachers! 
Any changes to this will be posted on our website!!!

ALL SUBS SHOULD BE CODED AND WORK A MAXIMUM OF 8 HOURS PER DAY.

All applicants interested in becoming a substitute school nurse, or substitute clerical personnel with Walton County School District must complete a substitute online application.  In addition to the payroll and the additional forms below, your application file must include copies of acceptable employment eligibility documentation, transcript(s) or diploma, and applicable certificate. Human Resources will download your application when we receive (by mail or hand delivered) all the attachments listed above.

A.  Payroll Forms:

In addition to mailing a copy of your driver’s license and a copy of your social security card to us, you must present original forms of acceptable employment eligibility documentation at the substitute training workshop. (Prefer driver’s license and social security card)

B.  Additional Forms:

  • Reference forms:  Three references are required: (Personal or Professional)
  • Walton County Sheriff’s Office Consent Form:  Criminal records checks will be processed for all  employees of Walton County School District.  A pre-check will be processed for substitute employees before they will be board approved to begin substituting. (Please go to Forms to download this form)
  • Application Completion Checklist:  Please print this checklist to verify that you have completed the necessary information.  Make a note on the check list if your references, teaching certificate, and/or transcripts are already on file.  Mail the check list along with the other items.  (Please go to Forms to download this form)
  • Walton County School District Acknowledgement form

 
C. Read and be familiar with the following documents:

  • Classroom teacher job description (applicable for substitute teacher):  Certify that you have reviewed the duties and responsibilities of a teacher as outlined in the job description and the job description supplement.  You can perform the essential functions of the position. (applicable for substitute teacher):  Certify that you have reviewed the duties and responsibilities of a teacher as outlined in the job description and the job description supplement.  You can perform the essential functions of the position.
  •  School nurse job description (applicable for substitute school nurse):  Certify that you have reviewed the duties and responsibilities of a school nurse as outlined in the job description and the job description supplement.  You can perform the essential functions of the position.
  •  Job description supplement 04 (applicable for substitute teacher and substitute school nurse)

      Mail or deliver all of the completed forms (incomplete forms will not be processed) along with a copy of a state issued picture ID or driver’s license, a copy of your social security card, and a copy of your transcript(s) or diploma to:

      D.  Completed Packet

      Once you have turned in a complete application packet, a criminal background pre check will be conducted.  PROCESS WILL TAKE APPROXIMATELY TWO – THREE WEEKS! When the background check is cleared applicant will be notified via mail to attend the next available substitute training workshop.   Substitute teacher applicants will be required to complete a one hour classroom observation (the form will be provided) and must be brought to the substitute training workshop. Substitute nurse applicants will be required to complete a one hour observation of a school nurse in our school district.

      All training sessions are held at Walton County Board of Education in training room 1 from 2:45 PM – 4:30 PM.  The address is: 200 Double Springs Church Road, Monroe, GA  30656

      After attending the substitute training workshop, your name will be presented as a substitute at the next board meeting for approval.  Upon approval, your name will be added to our substitute  list. (Board meetings dates will be announced at substitute training workshop.)

      E.  After you have subbed for the first time….

      … call or notify Sharon at 770-266-4404.  At that time, your information will be entered into the computer system for payroll.  A fingerprinting appointment will be scheduled and mailed to your home address.  You are required to keep your fingerprinting appointment.  Meanwhile you continue subbing.  The cost of fingerprinting is the responsibility of the employee.  Your must bring a MONEY ORDER for $40.00 made payable to Walton County School District to your fingerprinting appointment.

      Failure to keep your fingerprinting appointment will result in your name being removed from our substitute list!

    • You must be SCHEDULED!

      You must be invited to attend the workshop.  The workshop will be held on the 3rd Tuesday of the month on an as-needed basis.


      All classes will be held at the Board Office, upstairs in Training Room 1, from 2:45 PM – 4:30 PM.

      Re:  Criminal Record Check Memo

      A memo regarding an annual criminal record check, a criminal record check form, and policy GCDA/GDDA were mailed to all substitutes on January 20, 2012.  The criminal record check form was due back to Joette Martin on January 30, 2012.

      If you have not returned your annual criminal record check form, please do so IMMEDIATELY along with a copy of your driver’s license.  Please contact Joette Martin at 770-266-4402 if you have any questions.

                  A)     A new account has just been created for you at BOE.  This will allow you to check BOE emails.  Go to ‘Staff’, click on ‘Office        Outlook Web Access’.

      The Username is: Your first name.Your last name                         Example: Jane.Doe

      The Password is: Walton plus your munis number.                      Example:  Walton2189      
      Your munis number is the same as your payroll number.  It is listed as Employee # on your check stub.                                             

      Passwords are case sensitive.  If you would like to change your password you can go to the Helpdesk website, go to the ‘Account Administration’ menu and select ‘Change My Password’.

       

      B)    Employee Self Service:  With the advent of Direct Deposit, Employee Self Service is a mean for all employees to view and print payroll information from our website:  Go to ‘Staff’, click on ‘Tyler Technologies Employee Self Service’.  The log in information is on our website:  It is your first initial and last name plus the last four digits of your social.  The password is the last four digits of your social.  An example is on our web site.  Paper checks and /or direct deposit paystubs will be discontinued around the end of February, 2012.

      Substitute Teacher’s Salary is paid according to the level of education on file with your substitute application.  Each employee is responsible for providing the Human Resources Department with his/her highest level of education.

      ALL SUBS SHOULD BE CODED AND WORK A MAXIMUM OF 8 HOURS PER DAY.

      Rate of pay (for an 8 hour day) and Level of Education:

      • $58.00 per day / High School Diploma or G.E.D. (minimum requirement)
      • $65.00 per day / Bachelor’s Degree
      • $80.00 per day / Master’s Degree or Retired Teacher (minimum Bachelor’s degree)

      ** An additional $20.00 per day to the above amounts after the fifth day in the same classroom/assignment with no break, plus an additional $30.00 per day after the forty fifth day in the same classroom/assignment with no break. LONG TERM SUBSTITUTES MUST BE CERTIFIED.

      Paraprofessional - $58.00 per day regardless of the level of education and no additional money for days after the fifth day.

      Substitute School Nurse

      • $58.00 per 8 hour day

      Substitute Clerical

      • $58.00 per 8 hour day

      **DIRECT DEPOSIT IS AVAILABLE TO ALL EMPLOYEES** THE DIRECT DEPOSIT ENROLLMENT FORM IS LOCATED ON THE FORMS PAGE!!!
      INSTRUCTIONS ARE ON THE FORM.  THE FORM AND A VOIDED CHECK WILL NEED TO BE TURNED INTO THE PAYROLL OFFICE AT THE BOARD OF EDUCATION.

      Q. Am I required to attend the training workshop if I have a teaching certificate?
      A. Yes, all substitutes are required to attend for the first two hours.

      Q. Am I required to attend the training workshop if I attended one in a surrounding county?
      A. Yes, you must attend for the first two hours of the workshop.  You are not required to stay for the classroom management section.

      Q. I am a previous substitute for Walton County School District.  How can I get back on the list?
      A. You must complete the online application, have a complete file, and attend the training workshop for the first two hours.

      Q. What should I do if I am unable to keep my fingerprinting appointment?
      A. You should contact Joette @ 770-266-4402 immediately to re-schedule.

      Q. I missed my fingerprinting appointment.  What should I do?
      A. You need to contact Joette @ 770-266-4402 to schedule another appointment.  You will be removed from our substitute list until you are fingerprinted and you may be subject to go through the complete process again.

      Q. When is the next substitute training workshop?

      A. Normally, your ID# is your telephone number and the PIN# is the last four digits of your social security number. 

      Q. I am a retired teacher.  What do I need to do to become a substitute teacher?
      A. If you are retiring from our school system, you need to complete an online application and notify Sharon Hopkins (sthopkins@walton.k12.ga.us).  If you are retiring from another school system you will need to go through the process and attend the workshop for the first two hours.

      Q. How can I change the schools I want to sub at?
      A. All changes must be in writing.  Information is on our website (see Profile Change tab above) . 

      Q. How can I cancel an assignment?
      A. You can NOT cancel an assignment.  Please notify the applicable school if you are unable to honor your assignment.

      Q. Are there opportunities available for substitutes to work during summer school?
      A. Substitute teachers are NOT utilized during summer school.

      Walton County School District utilizes a program called Aesop to manage substitute availability and assignments.  For more information on how to use this program, please see the information at the links below.

      A. Normally, your ID# is your telephone number and the PIN# is the last four digits of your social security number.

      NOTE: These instructions are inclusive and cover options that are not available to substitutes in our district.  For instance, substitutes in Walton County School District can not cancel an assignment or select preferred schools on AESOP.

      Name Change

      • Your name is recorded as it appears on your social security card.  In order to make a change to your name, we must have a copy of your updated social security card.
